Managing Workspaces

Learn how to create and manage a workspace, then set up your first production.

Updated over 7 months ago

πŸ” Anyone can create a Workspace from their main dashboard but this feature is only accessible on πŸ–₯️ Desktop Devices.

Overview

Workspaces enable key personnel such as Heads of Production, Producers, and Studio Executives to manage multiple productions under a single entity. Employees linked to the Workspace can access all associated productions. Additionally, a subscription plan selected at the workspace level allows for streamlined billing management, rather than our 'per production' pricing methods, which will be sunsetted in favour of our new subscription pricing.

Creating Workspaces

To set up a new workspace, first click on your profile avatar located at the bottom left corner of your screen when using a desktop device. Next, select Create Workspace.

In the popup window, add a mandatory icon for your workspace by clicking the Upload button. Choose an image file from your desktop, ensuring it's at least 300 x 300 pixels in jpg or png format for optimal clarity.

Then, enter your workspace name (e.g., Iconic Pictures) and click the Create Workspace button to finalize the setup.

Creating a Production

Next, you'll need to set up your first production in your newly created workspace. On the workspace dashboard, click Create Production.

Initially, you will have the option to start a New Production from scratch. After establishing your first production, you'll gain the ability to Rollover a Production. This feature allows you to duplicate contracts, workflows, and settings from a previous production, streamlining the setup for subsequent projects.

Once a workspace is established, you can create new productions by selecting the Create button from the workspace dashboard.

Editing Workspaces

Once you've created a workspace, you can always go back into the settings to change the Workspace Name and Icon.

You can also adjust the Workspace Type (ie. Studio or Production Company), indicate the Taxpayer Country and input either your EIN if you're in the US or Business Registration Number if you're in Canada.

To edit Workspace settings, click on the Workspace from the main dashboard, then click on the settings icon under your Workspace Icon in the left navigation.

Switching Workspaces

If you're a member of multiple workspaces, you can easily switch between them. From your main dashboard, click on the workspace avatar to navigate to a specific workspace.

To change workspaces while already inside one, click on the workspace icon located at the top left of your screen and select the desired workspace from the list. You can return to your main dashboard at any time using the same method.

Workspace Permissions

The workspace will initially be owned by the user who created it. However, ownership can be transferred to another user, and additional personnel can be granted access to all productions within the workspace by contacting support. For more details, see our guide on Managing Permissions.
