Overview

Use this guide to learn how to effectively search for, process, approve, download and delete a Basic Timesheets, whether you are an accountant tasked with coding or editing Basic Timesheets, or an approver who is part of the Chain of Approval responsible for approving or facilitating the payout of an Basic Timesheet.

Basic Timesheets are a bridge between Standard Timesheets and Invoices. This simple and easy to use submission type allows Contractors to submit what looks like a Timesheet but instead of entering hours, Workers will submit days worked within a given week either as a Full Day, Half Day, or No Call. Reimbursements, Kits & Allowances and Notes, Relevant Taxes (for Canada) can also be added onto a Basic Timesheet and Circus will automatically calculate all totals.

Accessing Basic Timesheets

If you are part of the Chain of Review and need to approve or process a payment for a Basic Timesheet, you will receive an email notification. Click on the 'Review' button in the email, which will direct you to log in to Circus and review the Basic Timesheet.

If you are already logged into Circus, to access a Basic Timesheet, start by clicking on the relevant production from your main dashboard. Then, on the production dashboard, click on the Timesheets icon in the left navigation bar to access the Timesheets overview page.

All Timesheets will be organized into the following sections on the :

  • All - Timesheets in every state as described below

  • My Approvals - All Timesheets that require your review

  • In Review - All Timesheets that require either yours or someone else's review

  • Approved - All Timesheets that have either been fully approved or paid

  • Deleted - All Timesheets that have been submitted by Workers but deleted by someone with elevated access

By default, the Timesheets that require your review will load first under 'My Approvals'. Click on the Timesheet or entire row to review it.


Navigating Basic Timesheets

On the left navigation, you will see a chronological history of all Timesheets submitted by each Worker, organized by their creation dates.

In the centre panel, you'll find the Worker Name and Role, the Week Ending Date this Basic Timesheet is submitted for, and the Department the worker is in. Under, you'll find the summaries for Labor Costs, Kits & Allowances, Expenses.

Below the summaries and for Canadian submissions, the total tax amount will automatically calculate from the tax ID entered into the Worker's profile during onboarding.

The Total of the Basic Timesheet can be found on the bottom and as well as General Notes added by the Worker.

Editing Basic Timesheets

Week Ending Date

To edit the week ending date, click on the date field above the Basic Timesheet, then use the calendar picker to choose a new week. After selecting the week, the Basic Timesheet will update automatically in the labor costs below.

Labor Costs

To adjust labor costs, navigate to the dropdown menu labeled 'Period' and select from the options: 'Full Day', 'Half Day', or 'No Call'. The total cost will be automatically calculated based on the deal points specified in the Worker's start pack, which was set during onboarding.

Kits & Allowances

Kits & Allowances are seamlessly integrated into Basic Timesheets as they synchronize with their deal points on the Start Pack. To modify any existing kit or allowance, you can easily adjust the unit, rate, or frequency by simply clicking on the respective field. If you wish to remove an item, just click on the trash can icon located to the left. To incorporate a new kit or allowance, simply click on 'Add another' below the table.

Expenses

To modify any existing expense you can easily adjust the Total by simply clicking on the respective field and making the changes. If you wish to remove an item, just click on the trash can icon located to the left. To incorporate a expense, simply click on 'Upload Receipt' button, then follow the prompts to upload a photo of the receipt and add the total. Click 'Upload Receipt' and the table will update with the new expense. To download a receipt, click on the download icon next to the trash can icon.

Coding Basic Timesheets

Each line item on a Basic Timesheet can be categorized using multiple Group Codes and an Account Code.

If you have a Chart of Accounts uploaded, you can select the appropriate account code for the total amount of each line item by clicking on the dropdown menu, then choosing the Account Code.

For Group Codes, each one you've set up will appear in its own column. To categorize a transaction, click on the open field under the relevant column and select the appropriate code. For instance, if the expense is related to labor for season 3, episode 3, you might choose '303' under the 'EPS' column. Alternatively, if you are allocating tax credits for this labor to a specific region like Ontario, select 'ONL' under the 'TAX' column.

Changes will be saved automatically.

Approving Basic Timesheets

If you need to approve an Basic Timesheet, simply click 'Approve' on the action bar at the bottom of your screen. The action bar will convert to an 'Approved' status and status of the Basic Timesheet will be updated in the Timesheets overview page.

Pro Tip: If you are the final approver in the Chain of Approval, and accounting is enabled on your production, clicking on 'Approve' will post the transaction amount to the General Ledger.


The platform will then automatically load the next Basic Timesheet awaiting your approval. If there are no more Basic Timesheets needing your attention, you will be redirected to the Timesheets overview page.

Posting & Paying Basic Timesheets

If you are using Circus for payments, and the relevant worker has linked their bank account during onboarding, you can click 'Payout' on the same action bar after posting the Basic Timesheet.

Clicking this will automatically initiate the payment of the 'Total' amount directly into the worker's connected bank account. The action bar will convert to a 'Paid' status and status of the Basic Timesheet will be updated in the Timesheets overview page.

The platform will then automatically load the next Basic Timesheet awaiting your approval. If there are no more Basic Timesheets needing your attention, you will be redirected to the Timesheets overview page.

Retrying Failed Payments

If you see any 'Failed' labels on the Timesheets overview page, it means we were unable to deposit the required funds into the recipients bank account. To retry the payment, click on the Basic Timesheet, then scroll down to the action bar and click 'Retry Payment'

On the popup, click on the 'Yes, Payout [$X,XXX.XX]' button. The invoice will go back to an 'Approved' state and Circus will attempt to process the payment again. If you no longer wish to retry this payment, click 'Back to Reviewing' button or click the 'x' icon in the top right of the modal.

To find out the specific reason for the 'Failed' payment, reach out to support.

Commenting & Audit Logs

On the right side of your screen, the toolbar features Walkie, where you can access a comprehensive audit log or history of all events related to Timesheets, including submission, edits, coding, approval, and payment. This log includes timestamps for each action initiated by a user and is accessible to the Worker.

Additionally, approvers and accountants have the ability to add internal notes regarding the Timesheet, which are not visible to workers, facilitating private discussions about its status or required actions. To do this, enter your note and click on the plus ('+') icon.

To delete a note, simply click on the Delete icon.


Downloading Timesheets

Downloading Timesheets as PDFs is straightforward. Scroll to the bottom of your screen and click on the download icon in the action bar. Your browser will automatically save the PDF file to your default download location.


Deleting Timesheets

Timesheets can only be deleted by Workers if they are in draft mode. Basic Timesheets that are in review can also be deleted by Approvers or Accountants, however, they cannot be deleted by anyone if the Timesheets has been approved or paid out.

To delete an Timesheet, click on the delete icon in the action bar.
