Learn how to grant teammates access to all productions under a workspace

Overview

Use this guide to learn how to provide access to all productions within the workspace. This may include full-time employees such as Heads of Production, Production Finance, Business Affairs, Legal, or HR.

By adding someone to an access group, they will gain access to multiple productions and all worker submissions, including start packs, timesheets, invoices, payroll runs, and accounting data and documents.

βœ‹ WARNING: Do not use this guide to invite workers to a production who may only need access to a production or product. For example, you wouldn't use this feature to invite a Payroll Accountant if they're only assisting in processing payroll on a season of a series. Instead, use the Manage Production Access guide.

Opening the Access Panel

Navigate to the Workspace Access panel by clicking on the Workspace from the main dashboard, then click on the Access icon (πŸ”’) in the top right of your screen within the tool panel.

After opening the Access Panel from either the production dashboard or Start Packs overview page, you'll see a list of Access Groups a user can be added to.

βœ‹ Keep in mind, that adding users to these access groups allows them to perform the tasks listed below across all productions.

Circus Admins

  • Owns the production and controls all of its products and settings, including bank account connections, chains of approval, contracts and access groups.

  • Only a Circus Admin can grant or remove other Circus Admins.

  • Usually consists of Executives and Producers.

Admins

  • Has full access to all products that are active on the production, except for production settings.

  • Can grant access to the all groups below. ​

  • Usually consists of Line Producers, Production Managers or Production Accountants

Managers

  • This Access Group are just like Admins except they cannot edit access.

  • Usually consists of Payroll Accountants.

Health & Safety

This Group can also be granted to users who need access to specific data from Onboarding. This group usually consists of Craft Services, Catering or First Aid to obtain emergency contact details but it can also be granted to Coordinators or ADs to obtain contact details.

Adding Existing Users

To grant someone access, click on the Workspace Access Group from the access panel, which will launch a modal. For users already invited to any existing productions, you can use the field to search by name, role or email. Click "Add to Group" and that user will immediately have access to that group.

Inviting New Users

If someone has not yet been invited to any existing productions and you'd like to grant them access to a group, you can do so using the following two methods:

  • Click on the Access Group which will launch the modal. Then click on the Invite button, or;

  • Click on the Invite button at the bottom of the Access Panel

Both will launch the Invite to Workspace modal. Enter the first and last name of the person, including their work email, and role. Then toggle on which group you'd like to grant them access to. Click the "Send Invite" button.

Once the invite is accepted, they will have access to the workspace and its productions.

Pro Tip: If a Workspace role isn't available, reach out to support so we can add it to the database.

Removing Access

To remove someone's access, click on the group from the access panel, then hover over the user, and click 'Remove'. Confirm by clicking the 'Yes, Remove' button, which will immediately be removed from the Access Group.
