Overview
Use this guide to learn how to give accountants, production managers, line producers, producers and studio executives access. Adding someone to an access group will grant them access to multiple worker submissions like everyone's start packs, timesheets, invoices, as well as payroll and accounting data and documents.
You can also grant department heads access to invite workers and their submissions within a given department.
β WARNING: Do not use this guide to invite workers to a production who may only need to submit a start pack, timesheet or invoice. Use this guide instead.
Opening the Access Panel
There are two ways to access the a panel on a production β First, click on the production from your main dashboard, then click on the Access icon (π) in the top right of your screen within the tool panel from either the production dashboard or the Start Packs overview page. This will open the Access panel.
After opening the Access Panel from either the production dashboard or Start Packs overview page, you'll see a list of Access Groups a user can be added to.
Circus Admins | Circus Admins own the production and control all of its products and settings, including bank account connections, chains of approval, contracts and access groups. |
Admins | This Group has full access to all products that are active on the production, except for production settings. In addition, Admins can grant access to the all groups below. |
Managers | This Access Group are just like Admins except they cannot edit access. |
Approvers | Users are automatically added to this Access Group when they are added to the Chain of Approval for any product and can invite or edit all/specific departments within all/specific products. |
Inviters, Editors or Viewers | Add people to this Group who need access to specific departments within specific products. |
Health & Safety | This Group can also be granted to users who need access to specific data from Onboarding. This group usually consists of Craft Services, Catering or First Aid to obtain emergency contact details but it can also be granted to Coordinators or ADs to obtain contact details. |
Pro Tip: Reach out to Circus Support Team to create custom Access Groups for your production or to grant access to products other than Start Packs.
Adding Existing Users
To grant someone access, click on the Access Group from the access panel, which will launch a modal.
For users already invited to the Production, you can use the field to search by name, role or email. Click "Add to Group" and that user will immediately have access to that group.
Inviting New Users
If someone has not yet been invited to the production and you'd like to grant them access to a group, you can do so using the following two methods:
Click on the Access Group which will launch the modal. Then click on the Invite button, or;
Click on the Invite button at the bottom of the Access Panel
Both will launch the Invite to Production modal. Enter the first and last name of the person, including their work email, and role. Then toggle on which group you'd like to grant them access to. Click the "Continue" button.
π Access Group disabled? This means you don't have the required permissions to grant someone access to those groups. Please reach out to someone who has a higher access level or to Circus support.

Next you will choose the invite method. Currently, Circus only supports Backstage Invites which grants them access without having to complete a start pack.
Backstage Invites: Some people, like studio executives or Production Managers, need access to a production but donβt need to fill out a start pack (at least not right away). Backstaging is a simple, fast way to give them access without requiring anything more than their name and role. To add a worker to an Access Group AND have them complete a start pack, first send them a Locked or Open Invite using this guide, then add them to the Access Group following these steps.
Removing Access
To remove someone's access, click on the group from the access panel, then hover over the user, and click 'Remove'. Confirm by clicking the 'Yes, Remove' button. That Worker will immediately be removed from the Access Group.

Viewing Backstaged Workers
To view workers who were Backstaged (i.e., given direct access to production without completing a start pack), click the Start Pack icon in the left navigation. Then, go to the 'Approved' tab, where you'll see workers marked as "Backstaged" for those invited through this method.
