Learn how to submit a Basic Timesheet to a production as a Contractor.

Overview

Workers onboarded as contractors (or 1099s) onto a production can seamlessly submit Basic Timesheets and receive direct payments into their connected bank accounts via the Circus platform.


To accommodate various user preferences, the invoice submission process is optimized for both desktop and mobile devices. We have detailed the steps for each platform below to ensure a smooth experience.

Basic Timesheets are a bridge between Standard Timesheets and Invoices. This simple and easy to use submission type allows Contractors to submit what looks like a Timesheet but instead of entering hours, Workers will submit days worked within a given week either as a Full Day, Half Day, or No Call. Reimbursements, Kits & Allowances and Notes, Relevant Taxes (for Canada) can also be added onto a Basic Timesheet and Circus will automatically calculate all totals.

Desktop Devices

Creating Basic Timesheets

To create a Basic Timesheet on a desktop device as a Contractor, start by logging into your account and selecting the relevant production from your main dashboard. Once you're on the production dashboard, click the prominent 'Submit Invoice' button.


Alternatively, you may access the Basic Timesheets feature through the Timesheets section. Click on the Timesheets icon in the left navigation bar to reach the Timesheets page, then click the 'Create' button.

You'll be redirected to create a new Basic Timesheet. On the left navigation, you will see a chronological history of all Timesheets submitted by you, organized by their creation dates.

In the centre panel, you'll find your Name and Role, (defaulted to the last role you onboarded onto this production as), an area to select the Week Ending and your Department. Under, you'll find the summaries for Labor Costs, Kits & Allowances, Expenses.

Week Ending Date

To edit the week ending date, click on the date field above the Basic Timesheet, then use the calendar picker to choose a week. After selecting the week, the Basic Timesheet will update automatically in the labor costs below.

Labor Costs

To adjust labor costs, navigate to the dropdown menu labeled 'Period' and select from the options: 'Full Day', 'Half Day', or 'No Call'. The total cost will be automatically calculated based on the deal points specified in the your start pack, which was set during onboarding.

Kits & Allowances

Kits & Allowances are seamlessly integrated into Basic Timesheets as they synchronize with your deal points on the Start Pack. To modify any existing kit or allowance, you can easily adjust the unit, rate, or frequency by simply clicking on the respective field. If you wish to remove an item, just click on the trash can icon located to the left. To incorporate a new kit or allowance, simply click on 'Add another' below the table.

Expenses

To incorporate a expense, simply click on 'Upload Receipt' button, then follow the prompts to upload a photo of the receipt and add the total. Click 'Upload Receipt' and the table will update with the new expense. To download a receipt, click on the download icon next to the trash can icon. If you wish to remove an item, just click on the trash can icon located to the left.

Taxes

For Canadian submissions, the total tax amount will automatically calculate from the tax ID entered into your work profile profile during onboarding.

Add a General Note for accounting.

Total

The Total of the Basic Timesheet can be found on the bottom and will automatically calculate the totals for Labor Costs, Kits & Allowances, Expenses and Taxes, if applicable.

Submitting Basic Timesheets

Finally, click 'Submit' and follow the prompts to confirm the submission. The action bar below will convert to 'In Review'. On the right side of your screen, the toolbar features Walkie, where you can access a comprehensive history of all events related to the Basic Timesheet, including when it was submitted, edited, approved, and paid. This log includes timestamps for each action initiated by a user.

Downloading Basic Timesheets

Downloading Basic Timesheets as PDFs is straightforward. First, follow the steps above to access the Basic Timesheet you wish to download. Then, scroll to the bottom of your screen and click on the download icon in the action bar. Your browser will automatically save the PDF file to your default download location.

Deleting Invoices

Basic Timesheets can only be deleted by Workers if they are in draft mode. Timesheets that are in review can also be deleted by Approvers or Accountants, however, they cannot be deleted by anyone if the Basic Timesheet has been approved or paid out.

To delete a Basic Timesheet, follow the steps above, then click on the delete icon in the action bar.

Mobile Devices

On your mobile device, log in and select the production you'd like to submit a Basic Timesheet for from your main dashboard.

Click on 'Submit Timesheet', then click on 'Create New Timesheet' at the bottom of your device.

Click the 'Week Ending' date to select the date range, then you can optionally write some notes to the production under 'General notes'

To add your labor, click 'Next'. Under the 'Invoice' tab click on each day you worked and choose the Period ('Full Day', 'Half Day' or 'No Call') you worked, then click Save.

Click on the Overview tab and If you have additional earnings, like a vehicle or cell phone kit, click 'Additional Earnings' to add them, then click '+ Add Additional Earning' and add the details for each kit or allowance.

If you're ready to submit the Basic Timesheet, click 'Submit'. On the pop-up, click 'Yes, Submit Weekly Timesheet'
